How AI-Powered Resume And Presentation Tools Are Changing Professional Workflows

The file is named Resume_Final_v3_UPDATED.docx. It was last modified in March 2023 and sits in the Downloads folder of a company laptop belonging to Karthik (a composite), a 34-year-old operations manager at an auto-components plant in the Oragadam industrial belt outside Chennai. The document runs to two pages, set in 10.5-point Calibri with margins narrowed to 0.6 inches so that the second page ends before the footer. Each of his three roles is described in a paragraph beginning with “Responsible for”. He reopened it on the Tuesday after Diwali, when a recruiter from an e-commerce fulfilment company contacted him on LinkedIn and requested a CV by Thursday.

Many mid-career resumes in India are produced this way: once every two or three years, in a hurry, against a deadline set by someone else. The other document that shapes a working life follows the opposite pattern. A management consultant based in Gurugram has prepared a client deck every week for six years, and her archive, sorted by date, now holds more than 280 files. Preparing decks is a regular part of her work and occupies her Thursday evenings, much as Karthik's resume preparation occupies one weekend every three years.

Both documents share the same underlying problem. The first draft consumes most of the time, yet it is the stage that requires the least judgement. Formatting a resume is not career planning, and arranging eight slides is not client strategy. When a tool produces that first draft, the main change is in where the hours are spent; improvements in the quality of the final document follow only in some cases.

A resume prepared under pressure every few years

Karthik used Quillbot's ai resume builder, which is labelled Beta on its page and is free to use. It offers four starting points: importing LinkedIn data, uploading an existing resume, pasting experience as plain text, or starting from a blank template. He uploaded the 2023 file. Because that file ended in 2023, he added a plain-language description of his current role beneath it.

The description named the target role, Senior Manager, Fulfilment Operations at an e-commerce or third-party logistics company, and summarised his current position as Operations Manager at a Tier-1 auto-components supplier near Chennai since 2021. It set out the scale of the job: two shifts in a 1.2 lakh sq ft plant, around 240 contract workers and 18 supervisors, and daily dispatch to four OEM customers with fixed delivery windows. It recorded two achievements: leading the move to a new warehouse management system in 2024, including supervisor training, and introducing a line-side inventory check on the previous shift, which reduced late deliveries from about nine a month to two. The instructions asked for a single page, plain language and no buzzwords.

According to its product page, the builder converts plain descriptions of roles into concise, results-focused bullet points and drafts a professional summary. It completed both in a single pass. Karthik selected the ATS-friendly template from the five available (student, professional, minimalist, creative and ATS-friendly), retained the default colours and tightened the spacing so that his 2016 role occupied two lines instead of four. The resume fitted on a single page, the format the builder encourages. The file downloaded without a watermark, and the draft was complete by 9.40 p.m.

The following hour was spent on the step the product page itself recommends: reviewing the AI output for accuracy. The page also carries an important caveat, stating that no builder can guarantee a resume will pass every applicant tracking system (ATS). Standard section headings and a parse-friendly layout improve the odds without removing the uncertainty. Karthik used that hour, previously lost to adjusting tab stops in Word, to check every bullet against his own records and the plant's monthly MIS reports.

One bullet, before and after

The 2023 file described his previous role at a logistics firm as follows:

Responsible for handling daily warehouse operations and coordinating with the production and dispatch teams to ensure timely delivery to customers and resolving issues as and when they arise.

The builder's first version was tighter but incomplete. It referred to “improving on-time delivery performance”, which the original paragraph implied, but it had no figure to support the claim. Karthik supplied the figure, and the final bullet read:

Ran two-shift dispatch to four OEM customers from a 1.2 lakh sq ft plant; cut late deliveries from nine a month to two by moving line-side inventory checks to the previous shift.

The figures nine and two came from Karthik. The tool contributed the verbs, the sequence and the edit, broadly the contribution a competent editor would make. This division of labour matters because many problems with such tools arise when users allow the tool to supply the numbers.

Where the time now goes

Formatting once took up most of the effort: aligning dates on the right margin, reducing the font size so that the Education section stayed on the page, and choosing between hyphens and bullets. None of this addresses what a candidate has achieved over the preceding three years. With the builder handling layout, the remaining work consists of the decisions that were always central: which three achievements should appear first, whether an older role merits two lines or one, and whether “managed” or “assisted” is the accurate verb.

Karthik's spouse, a chartered accountant, reviewed the draft and returned four corrections, two of which concerned dates.

How a consultant uses the time recovered

The Gurugram consultant works on a distribution engagement for a listed mid-cap FMCG company. The client's national sales head expects a weekly review as an eight-slide PowerPoint deck in the company template by 10 a.m. every Friday. For six years her Thursday routine followed the same sequence: open the previous week's deck, save a copy, replace the figures, rewrite the commentary and, often late at night, rebuild the slide order once it became clear that the story had changed.

The routine now begins with a Word document. She already records notes from the Monday distributor calls in a .docx file, so she attaches that file, writes a prompt, sets the slide count to eight and generates the deck. The tool produces slide titles with speaker-ready text beneath each, offers a selection of layouts and themes, and opens an editor in which she can reorder sections, remove slides containing redundant information and add one addressing the question the sales head is likely to raise.

The prompt specifies an eight-slide weekly distribution review for the national sales head of a packaged-snacks company, aimed at senior commercial leadership, with numbers first, a direct tone and no motivational language. It identifies the attached call notes as the only source and lists the key points: secondary sales in the East grew week on week, but distributors in Guwahati and Siliguri are holding 41 days of stock against a norm of 28; the new ₹10 pack is cannibalising the ₹5 pack in western Uttar Pradesh; and the Diwali scheme extension should be paused in two districts. It requests one slide on risks, one on requests to the client, and a chart comparing days of stock by region.

Her analyst is responsible for the figures, so the draft goes to him through a shared link before anyone else sees it. He corrects the stock figure from 41 to 43 days because Siliguri's closing stock was reported late, and she revises the requests slide while he is still working in the file. By 7 p.m. she exports a PPTX, since the client's office works exclusively in PowerPoint. She adds speaker notes in PowerPoint afterwards, because Quillbot's ai presentation maker does not generate speaker notes, animations or slide transitions. For a client review, a clean file without animations is an appropriate default.

By her estimate, the Thursday task has fallen from about four hours to an hour and a half. The recovered time now goes to a step that previously had no room in the schedule: reviewing the deck from the sales head's perspective, slide by slide, and anticipating the questions or objections he may raise.

Old step, new step, and where the time went

The tools cannot supply missing achievements

The limitations deserve equal attention. A resume builder can turn “handled vendor coordination” into a sharper line, but it cannot know that the candidate reduced vendor lead time by eleven days. Without that information, the bullet remains vague, and an experienced interviewer is likely to identify the gap through a follow-up question. The tool is a rewriting engine attached to a template library; it can only work with the material it is given.

A deck generator has the same dependency, although less is at stake on any single slide. If the notes say that sales in the East were steady this week, the slide will convey the same information in a more polished layout. A generic deck remains generic; the generator only produces it faster. The consultant's decks improved because she began each prompt with a clear position (pausing the scheme in two districts) rather than a collection of numbers, and writing the prompt required her to state that position before any slide existed. That discipline was always available. The tool has made it easier to incorporate into the workflow.

Common mistakes

• Accepting the generated professional summary unchanged. The builder drafts a summary, and the result is often a plausible paragraph about a results-driven professional with a proven track record, a formula recruiters recognise immediately. It should be rewritten in the candidate's own words and include at least one specific figure.

• Treating the ATS-friendly template as a guarantee. The product page states that no builder can guarantee success with every ATS, and the parsers used by Indian IT services firms, public sector banks and job portals differ considerably. Standard headings, the file format the posting requests (PDF or .docx) and a name kept outside text boxes all reduce the risk.

• Importing LinkedIn data without review. An imported profile carries over any existing errors, such as an internship listed as a full-time role or a joining date that is off by several months.

• Requesting more slides than the meeting requires. An eight-slide deck for a discussion that needs five will contain three unnecessary slides, which senior reviewers are likely to notice.

• Presenting a generated deck without rehearsal. The speaker-ready text is a draft of what the presenter will say, and it should be read aloud at least once before the meeting, since at least one slide may contain a statement the presenter would not ordinarily make.

• Over-designing. Multiple fonts, several colours and stock images add little. A single theme, applied consistently, is sufficient.

Frequently asked questions

1. Are these tools free?

Both the AI Resume Builder and the AI Presentation Maker are labelled Beta and are free to use. A Premium plan is available; for the presentation maker, it adds unlimited presentations, faster generation and access to all of Quillbot's tools.

2. Can a deck be exported to Google Slides?

Not directly at present; the product page lists Google Slides export as forthcoming. A PPTX file can be exported and uploaded to Google Slides, after which fonts and charts should be checked.

3. Will a resume extend to two pages for a candidate with 14 years of experience?

The builder favours a focused one-page format, a constraint that generally works in the candidate's favour. The two roles most relevant to the target position should be developed in detail, with earlier roles reduced to a single line.

4. Which file types can be attached for a deck?

PDF, Word (.docx), PowerPoint (.pptx) and images in PNG, JPG, JPEG or WebP format, through the Attach Files option. Pasted notes are also accepted.

Updating before the deadline arrives

A resume prepared under deadline pressure can take an entire weekend. With the builder handling formatting, an update takes around forty minutes. Preparing it before a recruiter makes a request allows sufficient time for review and correction. The process involves uploading the existing file, adding a short description of the past year's work and selecting a template. The remaining time is best spent on the part no tool can do: identifying the two figures that demonstrate real impact. Karthik was invited to interview, and the recruiter's first question concerned those two figures: nine late deliveries a month reduced to two.
